How we handle your personal data

Privacy Statement

Octatube respects your privacy and protects your data. We treat the personal information you give us confidentially. We handle your personal data carefully and in accordance with the law. In this privacy statement we tell you which personal data we process, how we do that and what rights you have. This privacy statement applies to the processing of personal data by Octatube Holding BV and its affiliated companies, hereinafter referred to as Octatube.

Why we process your personal data

If you use our products, services or website(s), we may collect and process your personal data. For example, the personal data provided when filling in a contact form or applying for a job via our website(s).

We use your personal data and automatically obtained data for the following purposes, among others:

  • For complying with applicable laws and regulations
  • For making offers for and/or provide information about our services and other activities
  • For concluding and fulfilling of an agreement
  • For using of our services and/or use of your services or products
  • For maintaining business relation
  • For informing you about and offering our services (marketing)
  • For processing your request for information or your complaint
  • For processing your application
  • For management purposes including management information, providing internal controls and corporate security and conducting audits and auditing;
  • For providing functionalities on the website(s)
  • For analyzing website visits and optimizing the website(s)
  • For keeping  our website(s) secure and accessible
     

By personal data, we mean any information relating to an identified or identifiable natural person. We do not process any special or sensitive personal data.

We process your personal data in accordance with applicable legal obligations and only for the purposes for which we obtained the personal data.

The personal data we process

We process personal data of anyone who has (had) direct or indirect contact with Octatube, such as business contacts, contacts of suppliers and other partners, job applicants. We get this data directly from you when you contact us by phone or email or when you visit our website(s).

We process the following data:

  • First and last name, (business) address details, phone number(s), e-mail address and other contact details that you leave us via e-mail, phone or via forms on our website(s)
  • If you apply for a job with us: Curriculum vitae (CV) (including photo/video, age, gender), information about education and work experience, any references and other data that are or may be important in the context of the assessment of your suitability as a candidate.

When you visit our website(s), we collect data about your use of this site(s) and the device and software you use to visit the website(s).

  • Your IP address and (geo)location
  • Information about the type of device you use (including internet browser information, any language settings and information about the operating system)
  • Date (and time) on which you visited the website(s)
  • Information about website usage, such as which pages you have visited, how long you stayed on the website and from which website you came to our website.

Public data
We may also collect data from you if you have posted on public resources indicating that you might be interested in our services. In that case, we may approach you in accordance with our terms and conditions and subject to this Privacy Statement. If you are not interested, we may process relevant data from you in order to honour your wish not to be approached by us (anymore).

Special or sensitive personal data: We do not collect special personal data, unless this is necessary to comply with legal obligations. By 'special personal data' we mean data about race, religion or belief, political affiliation, health, sexual life, trade union membership, personal data under criminal law and/or personal data on unlawful behaviour.  

We do not intend to collect data from persons under the age of 18 unless they have parental or guardian consent. However, we cannot verify whether a visitor is older than 18 . If you believe that we have collected personal data from a minor without parental consent, please contact us via info@octatube.nl so we can delete that data.

Sharing of personal data

We do not sell your personal data to third parties and only provide your personal data if this is necessary for the purposes for which the data was collected (for example, to execute an agreement between you and Octatube) or to comply with any legal obligation. We conclude a processor agreement with the companies that process your data on our behalf to ensure the same level of security and confidentiality of your data. Octatube remains responsible for this processing.

Cookies and other technologies

We use cookies on our website(s) to provide you with the best user experience. A cookie is a small text file that is stored on your computer, tablet or smartphone when you visit our website(s). It allows us to store your preferences and settings and analyze how our website(s) are performing. We have drawn up a cookie statement.  See here.

View, modify or delete your data

You have the right to view, correct or delete your personal data. This means that you can request from us which personal data we have registered about you and for what purposes we use this personal data. You can have this data corrected if you consider it to be incorrect.  In addition, you have the right to withdraw your  possible consent for data processing or to object to the processing of your personal data by Octatube. We will comply with your request, unless we have a compelling, legitimate interest in not to delete the personal data, which outweighs your privacy interest.

You also have the right to ask us to cooperate in the transfer of your personal data to another party. This means that you can submit a request to us to send the personal data we hold about you in a computer file to you or another organization named by you.

You can send your request to info@octatube.nl.

To ensure that the request has been made by you, we ask you to send a copy of your identity document. In this copy, erase your photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), number and Citizen Service Number. This protects your privacy. We will respond to your request as soon as possible, but within four weeks. Octatube may ask you for an administrative fee before complying with your request, in accordance with the provisions of the GDPR.

We would also like to point out that you have the opportunity to file a complaint with the national supervisory authority, the Dutch Data Protection Authority. This can be done here.

How long we keep your personal data

We will keep your personal data for no longer than is necessary for the purposes for which we collected it, unless there is a legal ground to keep your data longer. We keep your personal data for two years after the last contact. We store IP addresses in log files that we keep on the web server for 30 days. We only view this data if we see a need to do so for security reasons.

How we protect your personal data

Octatube takes measures to protect your personal data. Both organizationally and technically. We want to prevent misuse, loss, unauthorized access, destruction, unwanted disclosure and unauthorized modification of your personal data.

For example, for the security of our website(s), we take various measures including security checks and the use of encryption tools. Your  data is only accessible to Octanes for which this is necessary. Octanes handle confidential data and information according to our Code of Conduct.

In the unlikely event that, despite our security, a security incident occurs that is likely to have adversely affect your privacy, we will inform you as soon as possible. We will also inform you about the measures we have taken to limit the consequences and prevent future recurrences.

We reserve the right to unilaterally amend the provisions of this privacy statement. We publish changes on our website, where you can always find the current version. It is advisable to visit the website regularly.
